•Objective: To officially welcome William Meeker to the Brookfield Convention Commission, ensuring a comprehensive introduction and to foster a collaborative environment from the outset
•Agenda Item 3: RDA (Request for Determination of Applicability) - 109 Webber Road
•Applicant Presentation: The applicant presents an overview of the proposed project at 109 Webber Road, focusing on the scope, purpose, and environmental impact assessment. This includes any mitigating measures to protect wetlands and waterways.
•Review of Documentation: Commission members review site plans, environmental studies, and any other documentation submitted by the applicant. This time allows for questions directed at the applicant for clarification.
•Public Comments: The floor is opened for public comments, allowing community members to express support, concerns, or questions about the proposed project.
•Commission Discussion: The commission discusses the project's potential impacts on wetlands and adjacent areas, considering both the applicant's presentation and public feedback.
•Decision-making: The commission votes on whether to issue a positive or negative determination for the RDA at 109 Webber Road.
•Agenda Item 4: Approval of Minutes
•Review of Previous Minutes: Commission members review and discuss the minutes from the previous meeting dated Jan 20, 2022; Apr 28, 2022; Mar 01, 2023; Jul 27, 2023; Oct 26, 2023; and Dec 14, 2023, ensuring accuracy and completeness.
•Amendments and Approval: Members propose any necessary amendments. Following discussion, the commission votes to approve the minutes with or without modifications.
•Agenda Item 5: Reaffirmation of December 14 Meeting Actions
•Objective: To officially reaffirm the decisions and actions taken at the December 14th commission meeting.
•Description: Review and approve a compiled list of all actions and votes from the December 14th meeting, ensuring their formal recognition in our records.
•Documents: A document detailing the actions to be reaffirmed will be provided (uploaded) prior to the meeting for review and will accompany the minutes as an official record.
•Agenda Item 6: Review of OML (Open Meeting Law) Complaint Official Response
•Overview of Response: A brief overview of the official response sent regarding the OML complaint, highlighting key points and the rationale behind the commission's position.
•Board Members Review: Commission members provide feedback on the response, discussing its adequacy and whether further action is required.
•Final Discussion and Closure: The commission addresses any remaining concerns regarding the OML complaint, aiming to reach a consensus on concluding this issue.
•Agenda Item 7: Election of Vice Chair for the Conservation Commission
•Objective: To elect a new Vice Chair for the Conservation Commission who will assist the Chair in overseeing committee operations, coordinating events, and ensuring the success of the Commission. The Vice Chair will serve for the term of 2 years (2026) with responsibilities including but not limited to, acting as the Chair in their absence, assisting in agenda preparation, and contributing to strategic planning.
•Agenda Item 8: Discussion on an Email from National Grid
•National Grid plans to conduct work on Pole 301 and has inquired about the necessity of obtaining a storm water permit for gravel work.
•Objective: To decide whether to inform National Grid that the Commission requires them to obtain a permit for the gravel work.
•Announce Next meeting date, place, and time
•Agenda Item 9: Adjournment
•Motion to Adjourn: A motion is made to adjourn the meeting.
•Vote: Commission members vote on the motion.
